Videos to Establish and Provide Care
States may require a face-to-face video interaction in order to establish care between patients and providers. In the 98point6 Console, this is referred to as Video to Establish Care (VtEC).
Occasionally, you may decide to conduct a video visit, even when it’s not required. This type of video is referred to as Video to Provide Care (VPro) and is most often used to perform a virtual physical examination or to build rapport for sensitive patients. VPro visits are most commonly used with pediatric patients.
Health system policies may differ when it comes to VtEC and VPro. 98point6 recommends that you follow the policies set forth by your organization.
NOTE: VtEC video visits conducted by Registered Nurses (RNs) for the purposes of treatment, nursing assessment, or nursing care, are completely separate from VtEC requirements for MDs, DOs, and NPs however if a RN conducts a video visit with a new 98point6 patient, the MD, DO or NP who first provides care to that patient must still conduct via video if required.
Video Guidelines
VtEC
It is recommended to use the follow (or similar) script guidelines when conducting VtEC visits:
Introduce yourself.
Confirm the patient’s name and date of birth.
Promptly return to the chat.
VPro
Refrain from completing the entire patient visit by video, and resume by chat as soon as possible.
Document your video findings in the Objective section.
Take a focused and directive approach during the video.
Document your findings in the chart.
All Video
Conduct video encounters in a HIPPA compliant manner. Privacy of patients and their PHI must be maintained throughout the encounter, including within video.
Be aware of background noise, presence of family members or other disruptive factors. Our professionalism is reflected in the video encounter.
Do not discuss the video as a state law or legal requirement. Stating that video is required by state law may not be completely accurate in all cases. We speak of our company VtEC policy as a ,“98point6 policy” to establish care.
Return to chat as soon as possible in all video interactions.
Conduct a VtEC Visit
To conduct a VtEC patient visit:
First, you’ll see the Video call required to establish care notification within the Medical Interview tab when applicable.
Accept the assignment, and then join the chat as you would with a non-video visit. (See Conduct a Patient Primary Care Visit for more information on how to conduct a patient visit.)
Enter text such as, “short video” into the chat box. You can then select the suggested text to let the patient know that a video visit is required, or….
Manually enter the following, applicable message (or something similar) to help prepare the patient for the video visit:
“98point6 requires we establish a doctor-patient relationship through video. I will need you to confirm your full name and date of birth on a brief video call. If that is okay, please reply YES and I will start the video.”Once the patient agrees to the VtEC visit, select Start Video to begin, and then use the guidelines provided in Video Guidelines, as shown above.
Select End Call when ready to close the video call.
Select the Mark care established via video checkbox, and then resume the visit via chat (see Conduct a Patient Primary Care Visit for more information on conducting patient visits).
Note that the Objective section (within the Documentation tab) now notates the visit as a VtEC visit.
Conduct a VPro Visit
To conduct a VPro patient visit:
Accept the assignment, and then join the chat as you would with a non-video visit. (See Conduct a Patient Primary Care Visit for more information on how to conduct a patient visit.)
Use the following, applicable message (or something similar, depending on the situation) to help prepare the patient for the video visit:
”As you were informed, 98point6 needs a short video session to speak directly to you and to see your child, and to verify their name and date of birth. If that is okay, please reply, ‘yes’ and I will start the video.”
You may also choose to use a text expander chat suggestion, especially if the patient is a pediatric patient. From within the Medical Interview tab (and after the patient agrees to the video visit), select the camera icon.
Once the patient accepts the call, it is recommended that you:
introduce yourself
gain an overall assessment of the patient’s well-being
return to the chat as soon as possible (see next step)
(See the Video Guidelines section above, for more information.)
Select End Call when ready to close the video call.
Select the Mark care established via video checkbox, and then resume the visit via chat (see Conduct a Patient Primary Care Visit for more information on conducting patient visits).
Note that the Objective section (within the Documentation tab) now notates that a Video to establish care was used.
